Vendor Policy & Guidelines

Vendor Eligibility & Application

All vendors must submit a completed application and pay all applicable fees before being accepted. The Market reserves the right to approve or deny applications based on product type, quality, and market alignment. To maintain variety, the Market may limit vendors offering similar goods.

Fees & Payment

All booth fees must be paid in full prior to participation. Fees are non-refundable unless the entire event is canceled by the organizers. No refunds will be issued due to weather, sales performance, or changes in circumstances.

Market Schedule & Attendance

Vendors are required to arrive and be fully set up at least 30 minutes before the market opens and remain until closing. Cancellations must be communicated at least 48 hours in advance. Emergency cancellations will be reviewed on a case-by-case basis, but refunds are not guaranteed.

Booth Setup & Operations

Vendors are responsible for bringing and setting up all equipment including tents, tables, and displays. Tents must be secured with a minimum of 25 lbs. per leg. Booth areas must be kept clean and free of clutter at all times.

Booth Size & Boundaries

Vendors must operate within their designated booth space (10x10 or 10x20). No overflow into neighboring areas or public walkways is permitted.

Vendor Placement

Booth locations are assigned by the Market Manager and may change without notice. Placement preferences are not guaranteed, and no adjustments or refunds will be made due to booth location.

Vendor Booth Assignments

If a vendor fails to arrive within 30 minutes of the market start time, their booth may be reassigned without refund. Booths may not be swapped or sublet.

Vendor Parking & Load-In/Out

Vendors must adhere to scheduled load-in and load-out times. After unloading, vehicles must be moved to designated parking areas. Vendors may not block entrances, exits, or pedestrian paths during setup or breakdown.

Product Compliance

All products must comply with local, state, and federal laws. Food vendors must have appropriate licenses and permits. Items not in compliance or deemed inappropriate may be removed by market staff.

Insurance & Liability

Vendors are responsible for their own insurance coverage. The Market is not responsible for any loss, damage, or injury related to vendor participation. Vendors assume all liability for their products and operations.

Legal Compliance

Vendors must comply with city, county, and state tax and licensing regulations. Violations may result in removal from the event without refund.

Professional Conduct

Vendors are expected to behave professionally and respectfully toward customers, fellow vendors, and Market staff at all times. Harassment, aggressive sales tactics, or disruptive behavior will result in immediate removal.

Customer Interaction

Vendors must be honest in their pricing, clearly mark products, and handle customer concerns respectfully. Loud music, aggressive solicitation, or misleading promotions are prohibited.

Electricity Use

Vendors needing electricity must receive prior approval and supply outdoor-rated extension cords. A $15/day fee applies.

Clean-Up & Waste Disposal

Vendors must clean up their space fully after each market. Failure to do so may result in a $25 cleaning fee. All trash must be removed or placed in designated bins.

Marketing & Promotion

The Market encourages vendors to promote their participation via social media, newsletters, and customer outreach. Booth signage must be professional, legible, and family-friendly.

Sales & Earnings Disclaimer

The Market does not guarantee sales, foot traffic, or financial results. Vendors accept the inherent risk of outdoor markets and understand that external factors may affect attendance or revenue.

Self-Promotion Responsibility

While the Market advertises the event, vendors are expected to market themselves actively. High-quality displays, clear pricing, and engaging presentation are essential for sales success.

No Exclusivity

No vendor is guaranteed exclusivity unless explicitly agreed upon in writing. Vendors should expect other businesses offering similar or competing products.

Weather Conditions

The Market is held rain or shine. Vendors are responsible for securing all equipment. In the event of extreme weather, events may be delayed or relocated at the Market Manager’s discretion.

Prohibited Substances

Smoking and drug use are prohibited within the market area.

Solicitation & Public Behavior

Religious or political campaigning and aggressive solicitation are not permitted during the market. Vendors must remain courteous and welcoming to all attendees.

Photography & Media Release

By participating, vendors authorize the Market to use photographs or video taken during the event for marketing purposes. Vendors may request to opt out in writing prior to the event.

Pet Policy

Personal pets are allowed in vendor booths but must be pre-approved. Vendors handling food must not allow animal contact with their products.

Rule Enforcement

The Market Manager has full authority to enforce all market policies. Any vendor found in violation may be warned, fined, or permanently removed at the discretion of Market staff.

Cancellations & Termination

In the case of market cancellation due to extreme weather or public emergencies, a credit may be issued. Vendors who violate policies may be terminated from the market without refund.

Confidentiality

Vendor contact information, internal schedules, and booth assignments are confidential. Soliciting vendors for outside or competing events during market hours is strictly prohibited and may result in a permanent ban.
